Classify the document
Identify personal, financial, health, privileged, confidential, or third-party information before upload.
Evaluate online OCR privacy, file retention, remote processing, sensitive-document risks, and when a controlled offline OCR workflow is safer.

Classify the information first, minimize what is uploaded, and compare the service data path with legal, contractual, professional, and organizational requirements. When you are ready to apply the guidance, review file handling.
Classify the file with the online OCR privacy checklist, then compare the decision with the file-handling page before uploading sensitive material.
Identify personal, financial, health, privileged, confidential, or third-party information before upload.
Crop unrelated regions and remove data the OCR task does not require using irreversible redaction.
Local expiry does not erase a remote provider copy; use an approved offline workflow when retention is unacceptable.
Privacy decisions happen before upload. Removing a local result later does not reverse a transfer to a remote processor. Classify the information, identify who controls it, and compare the complete data path with the rules that apply to the document.
These examples are decision patterns, not legal classifications. The owner of the document and the rules governing it determine the final choice.
| Situation | Primary concern | Safer next question |
|---|---|---|
| Public brochure or published notice | Capture quality and copyright still matter, but confidentiality may be low. | Do you have permission to reuse the text, and is the source clear enough? |
| Personal receipt for private notes | Names, partial account details, addresses, or purchase history may appear. | Can unrelated fields be cropped before upload? |
| Workplace invoice or customer form | Company policy, contractual limits, and third-party information may apply. | Is this OCR service an approved processor for the document? |
| Medical, legal, privileged, or identity record | An error or unauthorized copy may have serious consequences. | Should the file remain in a controlled offline or organization-approved environment? |
Free-OCR.net deletes local working images after processing and expires local guest exports after the stated short retention window. When remote OCR is enabled, a processed copy is sent to Wallpapers.com Document OCR. Its published API documentation states that inputs and outputs are kept in private long-term storage. Local expiry therefore does not mean the provider copy was deleted.
Review the full security and file-handling description and the privacy policy before uploading. If provider retention is incompatible with the document, do not upload it here. Use an approved offline or controlled workflow instead.
Follow the privacy checklist, inspect the processor path, and move restricted or sensitive material to an approved controlled workflow when online retention is unacceptable.
The safest OCR workflow begins by classifying the document, not by reading a privacy badge after upload.
